1. Introduction and background

1.1. Our company
Our company consists of 2 parties, those wanting to invest en the management to make or organize for different Investors or those who need the investment.
Our target is the rural area in Africa.
We are a consulting firm that provides a range of private sector development services to non-profit, donor and private sector clients including project design, management and evaluation, training and coaching, business planning.
Our focus is on the agribusiness sector.
Investing in this sector provides a basis for sustainable growth and employment, increases smallholder income and allows businesses to additional value.

We have a website which they would like to update to reflect all their activities.
The website which would act as a window for all stakeholders and which needs to be dynamic and accessed by:

a. Potential Clients to inform them about the fund and to organise a self-selection procedures in a way only eligible potential clients apply
b. Current Clients to keep them connected to the Fund and to inform them/increase their business knowledge.
c. Potential Investors To to attract them and to show in ' five minutes' what the fund is about
d. Current Investors & Grants - to inform, to involve and to show/justify Fund's development

Additionally the websites should be a communication channel so that the stakeholders can see the progress of the fund and especially the progress of the clients businesses and the way our company interacts with them.

2. Website development
There is a need for the development of 2 websites with the same Look&Feel:
1. The first which will be static and informational about our 2 companies involved.
2. The second- which will have a dynamic dashboard and various levels of access

2.1. Objectives of websites
Long term
? To inform, involve, connect with and attract (potential) clients, investors and/or other stakeholders.
Short term
? To let the outside world know about the (new) structure whereby the two bodies act a Matching partner for investors.
? Create consistency in the activities of our companies
? To launch the fund

New web-page outline (and therefore new content), that is aligned with the strategic choose to act as the company, to show the outside world how the two bodies/businesses reinforce each other.
New infrastructure to create one website for both parties

Fund - Different login credentials for:
a. Potential Clients
b. Current Clients
c. Potential Investors
d. Current Investors & Grants

2.3.2. Summary of requirements (See Annex I for details per targetgoup)
Functional
Dashboard function: input from M.I.S mostly in Excel (public). This should be uploaded in web admin (from excel which would have been downloaded from several databases. Once uploaded all dashboard graphs to be automatically updated.
Bulk sms system that is connected to website for sms tips, to be in web admin (bulk sms is provided by other company/cooperation is needed).
Have registration and application procedures for potential clients. In web admin will need to be able to download report of all registrations / applications. This should filter businesses which do / dont meet basic criteria before onsite visit.
3 levels of accessibility, for 1) general public will see dashboard, about how to register etc 2) for investors only with in depth stories of our clients 3) for clients. Specifics to be discussed when developing
Films and portraits (e.g. graphics and audio)
News updates / blog about experiences in the field by twitter / interview reports
User friendly (simple; website won't have a lot of text, but will have a lot of images, good and attractive search structure)
Maintenance friendly (easy for an internal web master, for who the website is an additional task, to keep the website up to date, to make adjustments, etc.)
Website settings opportune for use of mobile phones (especially for clients).
Website analytics incorporated into web admin tools s on traffic by web master for internal use.

Twitter feed from field officers (or similar)
Link to facebook page/ to follow on twitter.

What are we looking for:
We are looking for a balance between attractive functions of the website for its target groups and a maintenance friendly website. Preferably the function of 'web master' is an additional task to an excising employee of the company (with no specific website knowledge) within deliverables would be a web admin user manual. This means it should be not only user friendly for the visitors of the website, but also for the one who is responsible for the maintenance of the website.

2.4. Hosting
Our hosting will end at the end of this month. Advice on the needed infrastructure (the host, the internet provider, the web page program, e-mail hosting, etcetera.) is required.

3. Project planning
Further steps / Process:
Get advice on hosting.
Develop search organogram; navigation of websites.
Templates will be derived from Design Manual (made by a expert). Deadline 16th of March. Once have guidelines we would share a layout template
Deliver templates and content (April) to web designer.
Start building in March by web designer.
Start filling content in April by web designer.
Beginning of may start testing website.
1st of June website ready for launching.
